Data & Systems Coordinator

About This Position

The Data & Evaluation Coordinator supports IIMN’s use of data and technology to improve program impact, staff effectiveness, and organizational decision-making. The position works closely with program leaders and staff to understand organizational needs, strengthen Microsoft Dynamics 365, and develop meaningful reports and dashboards in Power BI and other tools.

The Coordinator serves as a key link between staff, leadership, and IIMN’s external Microsoft Dynamics 365 consultant, translating organizational needs into system improvements and ensuring projects are completed accurately, efficiently, and on schedule.

This position works collaboratively with IIMN’s Data & Reporting Coordinator, whose primary focus is data reporting and government reporting compliance. Together, the two positions strengthen organization-wide data systems, reporting, data quality, and effective use of information.

Salary range:$66,000 – $71,000

FLSA Status: 1.0 FTE

Primary Duties and Responsibilities

  • Administer and support the ongoing development of Microsoft Dynamics 365.
  • Customize forms, fields, workflows, and other CRM functions to meet program and organizational needs.
  • Identify opportunities to improve staff workflows and program effectiveness through technology and system improvements.
  • Troubleshoot routine CRM, data, and reporting issues and implement solutions when possible.
  • Manage user accounts, permissions, system updates, and routine database administration.
  • Develop and maintain Power BI dashboards and reports for program staff, managers, and leadership.
  • Create reports in Excel and other tools to support program management, evaluation, grants, and organizational reporting.
  • Work with leadership to define key performance indicators and translate organizational goals into measurable data.
  • Monitor data quality, accuracy, completeness, and consistency across programs.
  • Develop and maintain organization-wide data standards, definitions, and data governance practices.
  • Conduct routine data quality reviews and work with staff to address gaps or inconsistencies.
  • Develop a strong understanding of IIMN programs, services, workflows, and reporting requirements.
  • Meet with staff to identify data and technology challenges and develop practical solutions.
  • Manage projects with IIMN’s external Dynamics 365 consultant, including defining scope, requirements, deliverables, and timelines.
  • Ensure the consultant understands program needs and organizational goals and delivers high-quality work by established deadlines.
  • Coordinate testing, staff feedback, implementation, and rollout of significant CRM changes.
  • Collaborate closely with the Data & Reporting Coordinator on data quality, reporting, and organization-wide data needs.
  • Train staff on Dynamics 365, Power BI, data standards, and effective use of organizational systems.
  • Develop and maintain system documentation, data definitions, procedures, and training materials.
  • Conduct regular system reviews and support planning for updates, enhancements, and future technology needs.
  • Perform other duties as assigned.

 

Experience and Qualifications

  • 2+ years of relevant experience in data management, business systems, evaluation, reporting, or a related field.
  • Working knowledge of Microsoft Dynamics 365 preferred, or comparable CRM systems, Power BI, Power Apps, and Excel.
  • Experience developing dashboards, reports, workflows, and database solutions.
  • Knowledge of data quality and governance practices, including accuracy, completeness, consistency, and security.
  • Strong analytical and problem-solving skills with the ability to translate program needs into practical data and technology solutions.
  • Experience managing technology projects, consultants, or vendors to meet established expectations, timelines, and deliverables.
  • Strong project management skills with the ability to manage multiple priorities and meet deadlines.
  • Strong communication and interpersonal skills, including working across departments and communicating technical concepts to non-technical staff.
  • Detail-oriented, collaborative, and committed to maintaining accurate and confidential information.
